Office Administrator

The Studio Coordinator/Office Administrator supports a variety of clerical, record keeping, and customer service tasks to assist with the smooth operation of the organization. The Studio Coordinator is responsible for maintaining showroom inventory, the office responsibilities, as well as maintaining the showroom appearance.

Duties & Responsibilities

Inventory

  • Arrange inventory in Showroom

  • Make note of all items that enter and leave the showroom.

  • Ensure all items on floor are tagged properly.

  • Run Square transactions for walk-ins

  • Keep up with showroom inventory with W Home Collection

  • Maintain cleanliness of back stock room and CubeSmart

Office

  • Place Amazon orders

  • Manage and order office supplies, maintain office inventory list.

  • Receive and send packages

  • Check and distribute mail daily

  • Schedule in-house and external meetings

  • Answer phones and route appropriately

  • Schedule rep meetings

  • Create new client bins

  • Prep for client presentations

  • Prepare presentations: hospitality for clients (lunch requests, coffee orders, etc.)

  • Order project specific samples

Showroom Maintenance

  • Maintain cleanliness of Showroom, studio/office, bathroom

  • Replace light bulbs

  • Keep front area clear of boxes/clutter

  • Make sure all lights are turned on in showroom

  • Turn Sonos on

  • Make sure tv in conference room is on and slideshow is playing

  • Re-stock client napkins in bathroom

  • Perform other duties and responsibilities, as assigned.

Qualifications, Education & Experience

  • Written and verbal communication.

  • Aptitude for working independently and within a team in a collaborative environment.

  • Attention to detail and organizational skills.

  • Commitment to customer service, satisfaction, internally and externally.

  • Meet deadlines and work well under time pressure.

  • Creative problem solver who can devise strategies and propose solutions.

  • Prioritize, plan, and execute diverse tasks simultaneously with little supervision.

  • Anticipate issues and handle them independently.

  • Ability to keep sensitive information confidential.

  • Education - High School Diploma

  • Minimum of 1-2 years experience in relevant customer service.

SCHEDULE

8-hour shift

Monday to Friday

Education:

High school or equivalent (Preferred)

 

Experience:

Microsoft Office: 2 years (Preferred)

Customer Service: 2 years (Preferred)

 

Work Location:

In-person

REQUIREMENTS

This position may include physical demands such as the ability to intensely focus and handle stressful situations. You will primarily be working on a computer and sitting in this role. There is local travel at times, reliable transportation required.
